Role Summary

Our client, a prestigious company in the financial services sector, is seeking an experienced Executive Assistant (EA) to support senior Directors in London and Europe. This role is designed to cover and support interim needs within the team. The global EA team consists of 40 professionals based across London, Europe, the Middle East, Asia Pacific, and North America. This cohesive team supports senior Directors across the business and assists in onboarding new joiners, fostering strong connections within the team and the areas they support. They emphasize collaboration, a strong work ethic, and high-quality output.

This role operates on a hybrid model, with 3 days working from the office and 2 days working from home.

Key Responsibilities:

  • Extensive Calendar Management: Coordinate schedules, and manage internal and external calls and meetings.
  • Travel Arrangements: Organize national and international travel itineraries in coordination with an external travel company.
  • Event Organization: Plan and arrange team and business area events, including lunches and dinners.
  • Business Assistance: Format and work on documents, spreadsheets, and presentations.
  • Communication: Handle extensive email, video conference (MS Teams), and phone liaison both externally and internally.
  • General EA Duties: Complete expenses, onboard new joiners, and take action on various tasks.
  • System and Data Management: Update the HR system with absence and holidays, manage contacts, and system filing.

Skills & Experience:

  • Experience: Extensive EA experience supporting at Senior Management/Managing Director level within banking, financial services, or commercial industry.
  • Technical Skills: Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Language Skills: Fluent written and verbal English.
